This policy explains how Scoutboard, LLC, an Illinois limited liability company (“Scoutboard,” “we,” “us”), handles personal information. It covers two distinct groups of people, addressed separately because we handle their information differently.
Scoutboard is a recruiting platform that connects college football coaching staffs with high-school player information. Scouts and coaches use Scoutboard to search for and evaluate prospects. High-school teams use Scoutboard to upload player profiles and make them visible to scouts.
This policy is organized in three parts. Part A covers coaches and staff users who create accounts and use the service. Part B covers student-athletes, including minors, who appear in recruiting records within the service but are not users and have no accounts. Part C applies to everyone.
Part A
Account and contact information. Your name, work email address, school or program, role, and division, provided when you request access or are invited by your staff. Scoutboard uses magic links to verify your identity, so we do not store passwords. We also store your role (scout or team) and organization membership.
Content you create. Recruiting boards, notes, evaluations, rosters, schedules, and other material you or your staff enter into the service.
Payment information. Handled by our payment processor, Stripe. Scoutboard does not store full payment card numbers.
Usage and technical information. Log data such as sign-in events, feature usage, browser type, and IP address, used for security, support, and service improvement. We use Cloudflare Turnstile to protect our forms from abuse.
Cookies and analytics data. We use cookies and similar technologies to support site functionality and collect analytics data. See the “Cookies and Analytics” section in Part C and our Cookie Disclosure for more details.

We share information only with service providers who process it on our behalf to run Scoutboard:
Each provider is bound to use the information only to provide its service to us. We may also disclose information if required by law, to protect rights and safety, or as part of a business transfer with notice to you.
You can access and update your account information in the service, export your content at any time, and cancel your subscription at any time. Depending on where you live, you may have legal rights to access, correct, or delete your personal information; to exercise them, contact privacy@scoutboard.com.
Transactional service emails are necessary to operate your account; marketing emails, if any, include an unsubscribe option.
Part B
Scoutboard provides coaching staffs with recruiting information about prospective student-athletes. Many of these athletes are under 18, and we treat that fact as the controlling design constraint for this part of the service.
A player record may include: name, high school or previous school, graduation class, state or region, position, and athletic information such as statistics, measurables, film links, and performance data, together with analytical outputs Scoutboard derives from that information (such as a program-specific Fit Score).
What the records do not contain. Scoutboard does not include personal contact information, such as phone numbers, personal email addresses, or home addresses, in records of athletes under 18.
Publicly sourced records. Scoutboard may create seeded player records compiled from publicly available sources, such as published school and team rosters, public profile pages, publicly reported statistics, and public film sources. Where available, we store the source link and a last-checked date for these records. We rely on publicly available sources rather than paywalled-only data for published seeded records, we do not scrape private school systems, and we avoid collecting personal data that is not needed for recruiting context.
Team-submitted records. High-school teams and coaches may upload player profiles for their own athletes. Teams are responsible for the accuracy and appropriateness of the data they submit and represent that they have the necessary rights and consents to publish it in a recruiting context.
Scoutboard does not collect information directly from student-athletes, does not offer accounts to student-athletes, and does not knowingly collect information from any child under 13. If we learn that a record concerns a child under 13, we will remove it.
Player profiles submitted by a team are private by default. They are not visible to scouts until a team member explicitly publishes them. Once published, a profile becomes visible to authenticated coaching staffs on Scoutboard. Teams can unpublish a profile at any time, which removes it from scout search results.
Player records are visible only to coaching staffs within the service for athletic recruiting evaluation. We do not sell player information, we do not provide it to advertisers or data brokers, and we do not publish it publicly.
Scoutboard uses access controls designed to limit access to scouts' private data (pipeline boards, evaluations, notes, tracked players, and assignments) to members of that scout's organization. We do not intentionally share scout organization data with teams or other scouting organizations.
Public sources can be incomplete or outdated, and derived outputs such as Fit Scores and AI-assisted analyses are informational estimates that may contain errors. They are not judgments about any athlete's ability, character, or future. We tell coaches this in our Terms of Use, and we correct records when errors are reported.
A student-athlete, their parent or guardian, or a school official may request correction or removal of a player record at any time by emailing privacy@scoutboard.com with the athlete's name, school, and graduation class.
We will act on removal requests within 7 days. Removed athletes are added to a permanent suppression list so that the record is not re-created by future updates to our public player catalog. No account, proof of identity beyond reasonable confirmation of the relationship, or justification is required to request removal.
Part C
Scoutboard uses cookies and similar technologies to support site functionality, remember preferences, and collect analytics data that helps us understand site traffic and usage patterns so we can improve the product.

We use industry-standard safeguards to protect information, including encrypted connections, access controls that restrict data to authorized workspaces, and monitoring. Scoutboard uses Supabase for database and authentication infrastructure. Data is stored in the United States. Supabase applies row-level security policies so that each user or organization can access only their own data.
No system is perfectly secure. If a breach affecting your personal information occurs, we will notify affected parties as required by law.
Coach account information and content are retained while your workspace is active and for at least 90 days after trial expiration or cancellation so you can export or reactivate, after which they may be deleted. Audit and security logs, and data we must keep for legal, security, or operational reasons, may be retained longer.
Player records are retained while relevant to active recruiting classes and are removed upon valid request as described in Part B. Suppression-list entries are retained permanently so removals stick.
Scoutboard's service is for adult coaching professionals. We do not offer accounts to anyone under 18, and we do not knowingly maintain records about children under 13. See Part B for how we handle records of student-athletes who are minors.
We may update this policy from time to time to reflect changes in our practices or for legal, operational, or regulatory reasons. Material changes will be announced by email to account holders or in the service before they take effect, and the date above will be updated.
